Job Summary:

The Consumer Affairs & Administrative Coordinator will provide an efficient and orderly process for facilitating administrative functions and other defined duties in the Marketing department. The person filling this role will be proficient in administrative support to the management team departmentally, as well as facilitating communications and interdependent activities with other departments. The position is also responsible for handling all aspects of Consumer Affairs and reports directly to the Director of Marketing.

Responsibilities

ESSENTIAL FUNCTIONS:

  • Perform and oversee all administrative activities in support of the Marketing department.
  • Handle Consumer Affairs responsibilities including communication with customers and consumers.
  • Answer phones and handle requests/issues as needed promoting clarity of communication and exceptional internal customer service enhancing the professional image of the department and the company.
  • Support activities deemed appropriate by the Director of Marketing in maintaining proactive, positive environment with our customers and the Johanna team.
  • Act as backup to Director of Marketing for current marketing projects including website development, product development and presentations.
  • Work closely with Sales Administrative Coordinator and provide office assistance and backup when needed.
  • Responsibility includes Johanna Foods and Johanna Beverage businesses for both Branded and Private Label.

 

ADMINISTRATIVE DUTIES:

  • Develop and maintain administrative documents including but not limited to the following: new product setup forms, product specification sheets, item number and UPC database, daily attendance, vacation schedule, expense reports.
  • Maintain Nielsen Brandbank imaging database and downloads. Follow up with broker and/or respective retailer to ensure current product imagery is executed in circulars and online.
  • Track and confirm retailer weekly ads are executed based on weekly promotional calendar.
  • Coordinate information on WIC State requirements and applicable Johanna products.
  • Coordinate all project proposals and invoicing including tracking expenses for the Marketing budget.
  • Maintain consumer coupon inventory including development of new coupons and updating current as product changes necessitate.
  • Order UPC codes including OCR numbers through Pinpoint Data product barcode management system.
  • Maintain packaging sample library including cartons, labels, caps, etc.
  • Facilitate trade show coordination.
  • Prepare reports and presentations as needed for vendor and executive meetings, etc.
  • Order and maintain office supplies.
  • Assist with copying, preparing documents, presentations, sell sheets and other materials.
  • Screen and handle office communications, manage department calendars, schedule meetings, sample requests, greet and direct visitors and other administrative office tasks as appropriate.

 

CONSUMER AFFAIRS:

  • Address and respond to phone calls, emails and letters for Brand and Private Label product issues or inquiries.
  • Maintain database of detailed customer / consumer information reported including date coding, reason for consumer contact, store where purchased.
  • Review and analyze complaints in database to identify any trending issues.
  • Work with Quality Assurance and Manufacturing teams to communicate product specific complaints or issues in order to determine root cause, corrective action and develop response to respective customer or consumer.
  • Complete and communicate customer complaint response forms to QA team and follow up for corrective action.
  • Prepare monthly and quarterly summary including classification of consumer issues and communicate summary and findings to appropriate departments.
  • Ensure compliance with applicable quality system standards and the unit’s food safety, and security programs in support of essential manufacturing strategies and practices.
  • Serve as alternate to Director of Marketing to ensure effective coverage of the Safe Quality Food responsibilities pertaining to that position.
  • Develop and maintain a product locator database to identify product distribution at current retailers.
  • Consumers and Customers are important and critical to the success of Johanna Foods. Consumer Affairs activities must be addressed on a daily basis to ensure timely response to consumer or customer incoming issues.

Qualifications

  • College degree preferred
  • Minimum of five years experience as administrative assistant at the Senior level
  • High degree of proficiency in Microsoft Office, particularly with PowerPoint presentations and Excel charting. Adobe Illustrator and Photoshop experience a plus.
  • Must be a team player and possess excellent decision-making abilities. Must display exceptional communication skills, possess the ability to multi-task, handle aggressive deadlines and work well independently. Being reliable, proactive and organized is essential. Attention to detail is a critical part of this position.
