    Job Summary:

    The Regulatory Compliance Administrative Coordinator will provide a proficient support role for facilitating administrative functions and other defined duties in the Regulatory Compliance & Site Services Department.  The person filling this role will be providing administrative support to the management team departmentally, as well as facilitating communications and interdependent activities with other departments.  The position reports directly to the Vice President of Regulatory Compliance, Safety & Security. The administrative coordinator also has a technical component to his/her duties, predominantly in the areas of Recycling, Stormwater Compliance, Water Treatment Documentation, Hazardous Waste Management, and Management of State and Municipal Permitting.

    Responsibilities

    • Perform administrative functions/communications, prepare letters, memos, presentations, reports, and distribute when required. 
    • Answer incoming telephone calls and screen incoming calls to department VP.
    • Sort and distribute department mail.
    • Daily checks of various recycling trailers and scheduling pickup or delivery when full.
    • Daily tracking of water treatment documentation, including entering into monthly spreadsheets and mailing monthly land application payments.
    • Weekly and Monthly NJDEP reports related to land application and water permitting.
    • Regular inspection of Hazardous Waste collection area and scheduling of pick ups.
    • Evaluation of invoices delivered by Accounting Department to department Vice President, and coordinating corresponding agreements and/or contracts.
    • Weekly project list management, updates and construction meeting agendas.
    • Track renewal dates of all local, state and federal permits, submitting check requests and sending in renewals as needed.
    • Schedule quarterly and annual backflow preventer testing and maintaining records.
    • Prepare weekly reports including Water Usage, Weekend Visitor List, with distribution to the key site personnel.
    • Assist in preparation of PowerPoint presentation for quarterly and other meetings.
    • Support Vice President with any additional projects as needed.
    • Teamwork and support of all other members of the Compliance, Safety, and Security personnel team.
    • Organization of files and blueprints.

    Qualifications

    • Minimum of three years of experience as administrative assistant at Senior Level Management preferred.
    • Exceptional attention to detail is a critical measure of this position.
    • High degree of proficiency in Microsoft Office, particularly with Word and Excel charting, and at least some experience with Powerpoint.
    • Must be a team player and possess excellent decision-making abilities.  Must display good communication skills, possess the ability to multi-task, handle aggressive deadlines and work well independently.  Being reliable, proactive and organized is essential.
